All event projects need vision and an action plan. In order to create your corporate event you will have to make sure that you have a clear goal in mind and what you would like to achieve through this event. Corporate events can take many forms as the company may want to achieve: networking, education or showcase new products or services. The forms of a corporate event are: conference, seminar, team-building event, product launch or event parties/gatherings for the whole company.
When you start planning you should also have in mind the target audience and the expectations of your guests in order to work towards fulfilling their expectations. Choosing the period for hosting the event or the exact dates you are interested in will help you move forward in the planning process.
Planning
Once you have settled the type, audience of your event and the budget you should proceed with segmenting your plan in the following components:
- Venue
- Audio-Visual design
- Decoration/Branding
- Audio-Visual design
- Food and Beverages
- Entertainment
- Ticketing (if needed)
- Transportation
Timeline
Every plan you create should incorporate a timeline with deadlines so you will be able to keep on track with all the different “ingredients” of your event. While planning, you should always remember that realistically there are going to be unexpected delays such as:
- Finding and booking the correct venue at the right price.
- Decoration and branding might have delays to be completed and set-up.
Promotion of the event
The promotion of the event depends completely on the type of the event you are going to create. For example, if your event is only for your company you can just create and email invitations to your colleagues. If the event is to showcase a new product which is promotional you should incorporate a marketing plan:
- Social Media posts and ads
- Flyers and Posters
- Blog Posts
- Direct mail invitations to partners and/or clients
While planning your event, you should always keep in mind that it doesn’t matter how big the project seems at first, all that matters is being able to break it down into smaller and manageable components.
